Terms & Conditions
These Terms & Conditions outline the agreement between Tee to Trail Africa (“the Company”) and the traveler (“the Client”). By confirming a booking and making payment, the Client acknowledges and accepts the following:
1. Reservations & Payments
- A non-refundable deposit of 50% of the total trip cost is required at the time of booking.
- The remaining 50% must be paid no later than 30 days prior to the start of the trip.
- Reservations made within 30 days of departure require full payment upfront.
- Quoted prices are based on current exchange rates, supplier rates, and taxes. The Company reserves the right to adjust costs before final payment is made. Once full payment is received, prices are guaranteed except for statutory charges such as VAT or government levies.
2. Cancellations & Refunds
- All cancellations must be submitted in writing and are only effective once acknowledged by the Company Tee to Trail Africa.
- Cancellation fees are determined by the individual suppliers (e.g. hotels, golf clubs, transport providers). These policies will apply in addition to any Company cancellation charges.
- Refunds (if any) are subject to supplier approval and may take time to process.
The following cancellation fees apply:
- More than 60 days before departure:Loss of deposit (50% of total trip cost).
- 31–60 days before departure:75% of the total trip cost is non-refundable.
- 30 days or fewer before departure or no-show:100% of the total trip cost is non-refundable.
- If the Client fails to pay the balance on time, the Company reserves the right to cancel the booking and retain all payments made.
- Refunds, if applicable, will only be processed once the Company has received them from suppliers. Supplier-specific policies may apply in addition to the above cancellation charges.
- No refunds will be provided for unused services, missed activities, or voluntary changes made by the Client during the trip.
Comprehensive travel insurance covering cancellations, medical costs, delays, and other unforeseen events is strongly recommended.
3. Liability & Third-Party Services
- Tee to Trail Africa acts as a tour operator and booking agent. We arrange services provided by third parties.
- The Company is not liable for injury, illness, death, loss, or damage of any kind that may occur during the trip, except where directly caused by the Company’s own proven negligence.
- Clients are bound by the terms and conditions of each supplier and are responsible for reviewing these before travel.
- The Company cannot guarantee the financial stability, performance, or safety standards of suppliers.
4. Insurance
- The Client is strongly advised to obtain comprehensive travel insurance covering trip cancellation, medical expenses, baggage loss, delays, and personal liability.
- Participation in tours is at the Client’s own risk if adequate insurance is not secured.
5. Force Majeure (Unforeseeable Events)
- The Company accepts no responsibility for disruptions or losses caused by events beyond its control, including but not limited to: weather, strikes, health crises, political unrest, natural disasters, or acts of government.
- In such cases, the Company will make reasonable efforts to assist, but additional costs or changes will be the Client’s responsibility.
6. Health, Safety & COVID-19
- Clients acknowledge that travel carries health and safety risks, including exposure to COVID-19 or other illnesses.
- The Company is not liable for any costs, illness, quarantine, denial of entry, or travel interruptions arising from such risks.
- Clients are responsible for ensuring they meet all health, vaccination, and travel requirements of the destinations visited.
7. Group Sizes & Changes
- Prices are quoted based on the agreed group size. Should the number of participants change, the Company reserves the right to re-quote or apply surcharges.
- If the Client does not accept revised pricing, the booking may be cancelled under the cancellation terms above.
8. Confidentiality & Agreement
- All quotations, itineraries, and pricing provided by Tee to Trail Africa are confidential and may not be shared with competitors.
- Acceptance of a quotation, invoice, or booking confirmation constitutes full agreement to these Terms & Conditions.
9. Client Responsibility
- Clients are responsible for their own behavior, documentation (passports, visas, permits), and compliance with local laws.
- The Company reserves the right to remove any participant from a tour if their conduct poses a risk to themselves, others, or the smooth running of the itinerary.
